This party was very disappointing to many. Met a lot of angry people. Waiting in line for an hour and half to get in, than waiting in life for coach check, than waiting in line to get drinks, than waiting in line to switch rooms... let's just say I left. Some friends say that it got better near the end, I'm guessing that's because a lot of people left. They oversold tickets for a venue that could not hold the capacity they sold for. Poor operations management to the extreme. :(

OFFICIAL POST FROM CLUBZONE
clubZone Costume Ball Summary An unfortunate situation took place at this year’s clubZone Costume Ball where approximately 300 people were still in line waiting to enter the event when the Fire Marshall closed the doors to inspect the venue. This summary is intended to bring people up to speed on what happened, how they can get refunds, and what clubZone is doing to help those affected. This was the first event held at the Hastings Racecourse; while the event production team did put many hours into strategy & planning on the event, there were some unpredicted logistical issues encountered. The building layout is long & narrow with plenty of room for 2500 people; and the venue liquor license is actually approved for over 3,000 people. The problem arose from one main issue: the crowd was not properly disbursed through the entire venue until later in the evening. There was a bottleneck created by a narrow corridor leading from one room to the next and that prevented people from flowing easily into the main room. The first two small rooms exceeded their capacity so when the Fire Marshall did the inspection, he observed this congestion and determined to close the door temporarily. We recognized the issue of over-crowding was due to the audience being congested in the first room, so we turned the music off in that area and directed people to the main-stage area. Once the crowd started to spread out, the door was re-opened and everyone waiting did eventually make it inside. The door was shut down for approximately 30 minutes … and then they allowed us to start bringing in the rest of the crowd slowly. Total wait times did exceed 90 minutes for some of those who arrived at peak traffic times and some people decided to leave during this time. The event production team put a lot of time & energy into making this a unique and memorable experience. There was a lot of attention to detail… everything from free shuttle bus service, to body painting, photo booths, elevated VIP stages, four hired photographers, over 500 hundred movie props, 20 hours of Halloween decorating by a skilled crew, two dance teams, staging in three rooms, impressive VIP areas, catered food, lighting, sound, well-trained security, etc. The unfortunate reality though with any event is it takes hundreds of details in synchronization for an event to turn out well, and if even just one thing doesn’t work it all comes crashing down. If this event is permitted to continue in the future, we would implement the following changes: a) Increase the number of security gates at the main entrance to speed up the entry b) Remove the requirement to exchange tickets for wristbands, except for VIP’s c) Move coat check to a different location d) Increase number of drink ticket stations e) Increase the number of bar service stations f) Reduce the capacity for the venue to 2000 from 2500 Anyone who did not make it into the event will of course be refunded IN FULL and we’ll be putting together packages to show our appreciation for your understanding. clubZone.com has been working hard in Vancouver for 6 years to build trust with event-goers and as you’ll see from our response to this unfortunate situation this is very important to us to rebuild trust with those that were negatively affected. If you did not make it into the event, please hold onto your tickets, and submit a refund request to [email protected]. Please include your reference number & full contact information (name, phone number), and a short summary of your situation. Given the size of this event please give us approximately 1-2 weeks to reply to all requests. clubZone.com WILL take care of you. Please be patient with us as we learn from this situation and do what we can to make it better. I know for those who were impacted by this there is not much we can do to give back your Halloween… but we will continue to do our very best to bring the best parties to Vancouver. On behalf of clubZone.com and the event production team we thank everyone for their ongoing support and understanding. Sincerely, Mike Schwarz CEO, clubZone.com |
